About the Role:
Hyundai Somerset West is seeking a detail-oriented and experienced Warranty Clerk to join their team. The successful candidate will be responsible for ensuring compliance with company and Hyundai Automotive SA policies, processing warranty claims efficiently, and maintaining customer confidence through professional service delivery.


Key Responsibilities:

The Warranty Clerk will:

  • Validate vehicle data on documentation before input.
  • Review job cards for accuracy before costing (car shop, paint, and panel).
  • Ensure correct damage codes are applied to all claims.
  • Address and resolve claim queries promptly.
  • Maintain a secure, clean, and organized parts claim store.
  • Accurately tag all warranty parts and ensure timely submission to suppliers.
  • Process paint shop claims and liaise with the HASA warranty claims department for seamless claim processing.
  • Manage back-order listings and follow up on outstanding warranty parts and customer repairs.
  • Verify vehicle history, warranty parameters, and mileage records.
  • Ensure vehicles are inspected and diagnosed by the workshop before repairs.
  • Confirm part availability and record correct part numbers on warranty claim forms.
  • Obtain necessary authorizations before commencing repairs.
  • Reconcile warranty job cards, invoices, and claim forms with the warranty register.
  • Submit warranty claim forms and invoices to HASA within 7 days of repair completion.
  • Follow up with HASA to confirm invoice receipt.
  • Ensure job cards are costed and invoiced immediately after repairs.
  • Handle failed parts as per warranty policy, including destruction or submission for inspection when required.
  • Maintain warranty filing by chassis number and prepare manual reports for warranty parts over 30 days.
  • Perform additional tasks as reasonably requested by management.

Qualifications and Experience:

The ideal candidate will have:

  • A Matric qualification.
  • A minimum of 2 years of experience in a similar or related role.

Skills and Personal Attributes:

The successful candidate will possess:

  • Strong attention to detail.
  • Excellent communication skills.
  • Proven experience in warranty administration or a similar role.
