Job Purpose:


The Administrative Clerk role is designed to provide comprehensive administrative support to an allocated team, ensuring seamless day-to-day operations and promoting organizational efficiency. The successful candidate will play a pivotal role in maintaining smooth workflows, managing office procedures, and supporting team members with a variety of administrative tasks.

Key Responsibilities:

Administrative Support: Handle inquiries, schedule appointments, and assist with office support functions to ensure efficient operations.

Meeting Coordination: Organize and attend meetings, take detailed minutes, and maintain accurate records of discussions and decisions.

Facility Management: Book meeting rooms and conference facilities, ensuring all logistical arrangements are in place.

Calendar Management: Maintain and update scheduling and event calendars to avoid conflicts and ensure timely coordination.

Travel Arrangements: Coordinate travel plans, including flights, accommodations, and itineraries for team members.

Event Planning: Arrange both in-house and external conferences, functions, and events, ensuring all details are meticulously planned.

Office Supplies: Order and manage stationery and equipment, ensuring adequate stock levels at all times.

Document Management: Prepare, type, and distribute documents, letters, and reports as required.

Filing Systems: Organize and store paperwork, documents, and computer-based information in both hard copy and electronic formats.

Communication: Answer telephones, respond to inquiries, take messages, and direct calls to the appropriate individuals.

Client Interaction: Greet and assist visitors, clients, and staff, directing them to the appropriate personnel based on their needs.

Data Management: Capture, reconcile, and manipulate data for management reports, ensuring accuracy and consistency.

Mail Handling: Distribute mail, retrieve and deliver files, and photocopy or print documents as needed.

Financial Administration: Monitor departmental expenditures, maintain records, and complete invoicing tasks as required.

Compliance: Adhere to agreed service level agreements and company procedures to maintain high standards of efficiency and professionalism.

Qualifications and Experience:

  • Education: A National Senior Certificate (Grade 12) or N3 qualification is required.
  • Experience: A minimum of 1 year of relevant administrative experience is essential.

Skills and Competencies:

  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Attention to detail and a high level of accuracy.
  • Ability to multitask and prioritize tasks effectively.
  • Problem-solving skills and a proactive approach to work.
