Job Description:
The South African Police Service (SAPS) is seeking an efficient and detail-oriented Administration Clerk to join the Office of the Deputy National Commissioner: Crime Detection. The successful candidate will play an essential role in providing administrative support, maintaining office organization, and managing key logistics. This position requires a proactive individual who can ensure seamless daily operations within the office, handle confidential documents, and communicate effectively with both internal departments and external stakeholders.
The Administration Clerk will be tasked with maintaining various records, managing incoming communications, and assisting with logistical matters such as supplies and office equipment. Attention to detail, strong organizational skills, and a commitment to maintaining confidentiality are essential to perform well in this role. The ability to manage tasks under pressure and work extended hours when necessary is required.
Minimum Requirements:
- A Senior Certificate (Grade 12) or National Certificate (Vocational) recorded on the National Learner Record Database (NQF level 4).
- Proficiency in at least two official languages, with English as a mandatory language.
- South African citizenship.
- No previous criminal or departmental convictions, and no pending criminal or departmental cases.
- Applicants will undergo security screening, including fingerprint verification and vetting.
- A degree or diploma relevant to the field will be advantageous.
- Relevant administrative courses will be an added benefit.
- Ability to work under pressure and extended hours as needed.
Key Responsibilities:
Provide administrative support to the Deputy National Commissioner: Crime Detection office.
Manage and coordinate logistical matters such as office supplies and document handling.
Maintain leave records, registers, and filing systems.
Screen and manage all incoming calls to the office.
Type reports, letters, agendas, and minutes; handle confidential documents securely.
Maintain a record of meeting minutes and track the flow of documents within the office.
Liaise with other departments and external stakeholders regarding matters related to the office.
Maintain effective record-keeping, filing, and document management systems.
Operate standard office equipment, including fax machines, photocopiers, telephones, and computers.
Skills and Competencies:
Strong organizational and time-management abilities.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office (Word, Excel) and email systems.
Ability to manage confidential information with integrity.
Work effectively under pressure and meet deadlines.
Strong interpersonal skills for liaison with various departments.
