A leading beverage manufacturing operation under AB InBev is currently seeking a professional and highly organised Secretary to join its Newlands Brewery team. The Secretary role plays a critical part in ensuring smooth daily operations through effective administrative and secretarial support.
Key Purpose of the Role
The primary purpose of this position is to provide comprehensive secretarial and administrative support to the Plant Manager and relevant departmental heads, while ensuring efficient coordination, communication, and office management across the plant.
Key Roles and Responsibilities
The successful candidate will be responsible for a wide range of administrative and secretarial duties, including but not limited to:
Providing full secretarial support to the Plant Manager and various departments
Performing general secretarial functions such as typing, filing, answering telephones, and taking accurate meeting minutes
Managing diaries for the Plant Manager and selected Heads of Departments, including scheduling meetings, appointments, and venues
Handling daily correspondence, queries, and follow-ups
Managing cost centres, including PRs and POs on SAP, and following up on outstanding vendor invoices
Preparing reports, presentations, and official documentation using Microsoft Office
Planning and organising meetings, workshops, communication sessions, and team-building events (both on-site and off-site)
Ensuring logistical support for plant-related events and functions
HR and Office Administrative Duties
In addition to core secretarial tasks, the role includes several HR-related administrative responsibilities, such as:
Cell phone and laptop administration, including orders, allocations, and repairs
Processing O&G orders and managing bar administration stock orders via SAP
Handling HR administration, filing, and record-keeping
Distributing time error reports to departments
Creating purchase orders and managing general ledger allocations
Providing relocation assistance where required
Ordering stationery, catering, and office supplies
Assisting employees and managers with general administrative requirements

Minimum Requirements
- Grade 12 (Matric) certificate
- Qualification in a Secretarial or Administrative field (advantageous)
- 2–3 years’ experience in a secretarial or administrative role
- Full computer literacy in Microsoft Outlook, Word, Excel, and PowerPoint
- Proven SAP experience (essential)
