Job Purpose

The successful candidates will provide secretarial and administrative support services to senior managers and section heads within the Directorate. The role ensures the smooth functioning of offices through effective diary management, document control, communication coordination, and general office administration.


Key Responsibilities and Duties

The appointed Secretaries will be responsible for, but not limited to, the following duties:

  • Rendering comprehensive secretarial support to senior management
  • Managing diaries, scheduling meetings, and coordinating appointments
  • Handling incoming and outgoing correspondence, including emails and official documents
  • Typing, formatting, and proofreading reports, submissions, minutes, and presentations
  • Maintaining filing systems (manual and electronic) in line with records management standards
  • Receiving visitors, arranging meetings, and coordinating travel and accommodation bookings
  • Answering and directing telephone calls professionally
  • Maintaining office equipment and ensuring effective office administration
  • Ensuring confidentiality and proper handling of sensitive information

Minimum Requirements

Applicants must meet the following minimum requirements to be considered:

  • Senior Certificate (Grade 12) or
  • National Certificate (Vocational) at NQF Level 4
  • Proficiency in at least two official languages, one of which must be English
  • Computer literacy, including Microsoft Office applications
  • Good communication, interpersonal, and organisational skills
  • Ability to work under pressure and meet deadlines
  • South African citizenship
  • No previous criminal convictions or pending criminal cases

All shortlisted candidates will be subjected to a vetting process, which includes security screening and fingerprint verification.
